Box Office Sales Representative & Philanthropy Assistant

Position:

Box Office Sales Representative & Philanthropy Assistant

Act as Customer Service and Sales Representative for all events offered at Tacoma Arts Live and other locations; assist in the daily Box Office operation as directed by the Box Office Manager and/or Assistant Manager and assist Philantrophy as directed by Donor Engagement Manager.

Responsibilities:

Ticket Sales and Customer Service

  1. Responsible for Customer Service and Ticket Sales for all events offered through the Tacoma Arts Live Box Office
  • Process window, phone, internet, fax and mail orders, including education, subscription and consigned ticket orders.
  • Respond to and refer phone inquiries
  • Customer service referral and/or issue resolution
  • Processing and fulfilling memberships and donations
  • Lost ticket replacement, exchanges and will call fulfillment
  1. Follow and implement Box Office policy and procedure

Philanthropy Support

  • Serve as the point person between AudienceView & donor tools
    • Import/export between AV & donor tools
      • Record reconciliation between AV & donor tools
      • Including access to records in Greater Giving as needed
    • Create & Manage Reports
      • Fundraising campaign specific reports
      • Creating reports to facilitate YOY analysis
  • Gift & Membership Processing
    • Solicitation Support
      • Printing & Envelope preparation
      • Mail Merges
      • Pulling donors lists to facilitate communications
      • Membership Renewal Reports & Reminders
      • Document communications/moves management in donor tools
  • Data Entry
    • Track Gift Entry Forms through to completion
    • Maintain paper & digital files
    • Document gifts in AV & donor tools
    • Track pledges & reconciliation
    • Pledge reminders
  • Acknowledgements
    • Reconcile daily membership & gift reports
    • Mail merge – print acknowledge letters & envelopes.
  • Data Cleanup & Reconciliation between AV & donor tools

Accounting and Reporting

  • Maintain efficient and accurate records and account for all Box Office transactions:
  • Daily Box Office, Patron, Donation and Membership records
  • All ticket records
  • End of day reconciliation
  • Daily ticket sellers and consignment reports
  • Charge card receipts
  • Group ticket sales
  • Credit and gift certificates
  • Active and completed files
  • ADA seating
  • Complimentary tickets
  • Audience View Ticketing System
  • End of day reconciliation
  • Assist running sales reports as requested
  • Responsible for entering patron data in a consistent method as determined by Box Office policy
  • Responsible for duplicate records and patron requests for address update and communication preferences

Office Support Systems and Other

  • Knowledge and use of all the technical systems of the Box Office and Philanthropy: Microsoft Office Suite, Audience View Ticketing, BOCA Printers, Google Docs, donor tools.
  • Offer support to other departments as capacity allows
  • Provide clerical assistance: Typing, Filing, Data entry, Copying, Mail processing, Proof reading for team as needed
  • Perform other duties as assigned by Box Office Manager, Donor Engagement Manager or Box Office Assistant Manager.

Skills needed to apply:

    • One or more years of customer service or sales experience
    • Understanding of Microsoft Office Suite: Word, Excel, Outlook etc.
    • Experience with AudienceView Ticketing system or other ticketing related database preferred, but not required
    • Knowledge of BOCA Printers preferred, but not required
    • Must speak fluent English. A second language is a plus, but not required
    • Must be willing to work in a team environment
