Box Office Sales Representative & Philanthropy Assistant

Tacoma Arts Live is looking for a Customer Service focused individual for a position that will have responsibilities as both a Box Office Sales Representative and a Philanthropy Assistant. Act as Customer Service and Sales Representative for all events offered at Tacoma Arts Live and other locations; assist in the daily Box Office operation as directed by the Box Office Manager and/or Assistant Manager and assist Philanthropy as directed by Donor Engagement Manager. This is a fulltime, non-exempt position that will be paid overtime for over 40 hours per week.

RESPONSIBILITIES:

            A.        Ticket Sales and Customer Service (50%)

  1. Responsible for Customer Service and Ticket Sales for all events offered through the Tacoma Arts Live Box Office
  2. Process window, phone, internet, fax and mail orders, including education, subscription, consigned ticket orders, memberships and donations.
  3. Respond to and refer phone inquiries
  4. Customer service referral and/or issue resolution

           

B.        Philanthropy Support (50%)

  1. Serve as the point person between AudienceView & donor tools
    1. Import/export between AudienceView & donor tools
    2. Create & Manage Reports
  2. Gift & Membership Processing
    1. Solicitation Support
      1. Pulling donors lists to facilitate communications
      2. Membership Renewal Reports & Reminders
  • iii. Document communications/moves management in donor tools
  1. Data Entry
    1. Track Gift Entry Forms through to completion
    2. Maintain paper & digital files
    3. Document gifts in AudienceView & donor tools
    4. Track pledges & reconciliation
    5. Pledge reminders
  2. Acknowledgements
    1. Reconcile daily membership & gift reports
    2. Mail merge – print acknowledge letters & envelopes.
  3. Data Cleanup & Reconciliation between AudienceView & donor tools

QUALIFICATIONS:

  • HS Diploma or G.E.D., some college preferable.
  • Proven Customer Service skills with 2+ years of experience, preferably dealing with customers in a retail environment.
  • Strong organizational and administrative skills – detail oriented. Ability to multi-task and respond to changes in a fast-paced work environment.
  • Ability to quickly learn new software applications. Experience with AudienceView or other ticketing software a plus.
  • Communicate effectively both verbally and in writing. Skilled in the use of Outlook, Word and Excel.
  • Possess a WA MAST Class 12 permit, or be able to obtain one (employer paid).
  • Ability to work a flexible schedule, including nights and weekends for events.
